Event Terms and Conditions and Cookie Notice

Data Protection 

Cifas Events are provided by Cifas, a company registered in England and Wales under company number 02584687 and with our registered office at 6th Floor Lynton House, 7-12 Tavistock Square, London WC1H 9LT (“Cifas”, “we”, “us” or “our” in this policy). Where we decide the purpose and means for which personal data you supply is processed, we are the “data controller” in terms of the UK GDPR and the Data Protection Act 2018 (referred to collectively in this policy as “data protection legislation"). 

 The personal data collected as part of the events process, or collected as part of the attendance of an event, is processed on the basis that it necessary for us to do so as part of providing the event (this contractual necessity is our lawful basis under the data protection legislation). Without it, we would not be able to provide the event. If you are booking an event on behalf on someone else, then it is your responsibility to make sure that you have their permission to do so.  

As part of providing the event, we may email you with updates about the event that has been booked. We may also email you with details of other similar events; please let us know if you do not want us to do this. 

We will process your personal data in the UK, using Microsoft Azure, and keep it for six years. We have implemented appropriate technical and organisational measures to protect personal data – Cifas is certified to ISO/IEC 27001:2013, the international standard for operating an information security management system, and to Cyber Essentials, the online security scheme run by the Government’s National Cyber Security Centre. Cifas commissions regular penetration testing of all systems by independent experts approved under the CREST scheme. 

We will share your personal data with those people and organisations needed to help deliver the event, including our webinar and payment services providers. In addition, we may disclose your information to the extent that we are required to do so by law or regulation (which may include to government bodies such as qualification regulators, or to law enforcement agencies), in connection with any legal proceedings or prospective legal proceedings, and in order to establish, exercise or defend our legal rights. 

You have certain rights under data protection legislation: the rights of data access and portability, to ask us to correct or delete the data we hold, and the rights to object to or restrict our use of your data. If you are not happy with how we have acted, then you have the right to complain to the Information Commissioner’s Office at www.ico.org.uk

 

Code of Conduct 

Cifas Code of Conduct provides guidelines to Participants to understand what behaviour is expected, and what behaviours that will not be tolerated within Cifas events. Participants are expected to abide by this Code of Conduct at all events; including conference-related social events, related online communities, and social media.  

Cifas are dedicated to providing an inclusive event, free from harassment, for everyone regardless of age, race, religion, gender identity, disabilities, sexual orientation, physical appearance, body size, neurodiversity, ethnicity, nationality, or other protected categories. Any participants displaying harassing behaviour will be asked to stop and are expected to comply immediately. 

Cifas expects that event members will: 

  1. Refrain from discriminatory, demeaning, or harassing behaviour, speech, and materials. 

  2. Be respectful and considerate to all event members. 

  3. Raise awareness if they observe anything that conflicts with this Code of Conduct. If you notice that someone else is being harassed, are feeling uncomfortable, or have any other concerns, please contact a member of the Cifas event staff immediately. 

 

Right to Remove or Refuse Entry 

Cifas reserves the right to remove or refuse entry to any events member at a reasonable discretion. Any participant asked to refrain from unacceptable behaviour is expected to comply immediately. If a participant continues to engage in unacceptable behaviour, Cifas may take any action deemed appropriate, including warning or removing the offender from the event with no refund, if applicable. For more grievous behaviour Cifas may, at a reasonable discretion, temporarily ban or permanently exclude a participant from further events. 
 

Cookies 

We use the Cifas website to display our events, which includes providing information about the events on offer. This means we need to set a cookie called “Matamo” that is necessary for the website to work for all visitors and registered users. It is a “session” cookie, which means it expires when you close your browser. We may also use Zoom Webinar to deliver our events, this includes the use of an essential cookie for data sharing. This cookie may transfer data to the United States, and is “strictly necessary” for delivery of an event. 

 

Payment by Card 

Payment in full must be received before the event date. Please get in contact with us if you would like to pay by credit card. 

 

Payment by Invoice 

Payment in full must be received before the event date. Cifas reserves the right to re-allocate the event place to another delegate if fees are applicable and not paid on time. Failure to receive the event fees in adherence with these terms means that Cifas reserves the right to request payment on the day of the event. 

 

Event Numbers 

There are maximum - as well as minimum - numbers on each event. In instances where the minimum attendance is not met, we shall notify you at least 14 days before the event date and arrange for you to attend on another date. We cannot accept responsibility for any losses arising from cancellations or changes, beyond the event fees. 

 

Cancellations 

Cancellations received more than 30 days prior to the commencement of the event will be refunded in full but may incur an administration charge per delegate. 
Cancellations 15-30 days before the event incur a charge of 50% of the event fee and may also incur an additional administration charge. 
No refund is given for cancellations 14 days or less before the event date. 
Substitutions can be made at any time at no extra cost. Please inform the Cifas events team at events@cifas.org.uk. 

 

Event Language 

All event materials and delivery are undertaken in English except where specified by law.
